Office work by voice: admin straight from the building site

For a large trades company, we designed and built a voice-controlled admin system. Teams record customers, appointments, hours and job reports by voice on site; the system suggests, a person confirms.

01Situation

Technicians work on changing sites. Information ended up on scraps of paper, in messenger chats or in people's heads, and was typed into the system in the evening or days later. That cost time, delayed quotes and invoices, and left gaps in the records.

02Challenge

Conventional trades software is built for the office. Typing on a screen barely works with gloves, dirty hands or under time pressure. Add basements and new builds without signal. The solution had to work without typing and reliably offline.

03Solution

Voice is the input; the screen is only for checking. Saying “New customer Müller, Bahnhofstraße 12, bathroom renovation” brings up a finished record to confirm. The system remembers the active job, so hours, materials and photos are assigned correctly. When something is unclear, it asks instead of guessing.

04Implementation

  • Customer management by voice: create, search, ask “When were we last at Meier's?”
  • Scheduling that detects clashes and suggests free slots
  • Quotes generated from a spoken job description using trade templates
  • Time tracking and job reports the customer can sign digitally on site
  • Invoices from the job report, with explicit confirmation of the amount before sending
  • Offline mode: input is stored locally and synced later

05Impact

  • Records are created where the work happens, not after hours
  • Quotes and invoices go out sooner because the data is already captured
  • More complete job reports as the basis for billing
  • Little training needed, because using it is just talking
